Special Events

The Aurora Public Library District maintains select rental spaces for private events occurring outside of regular hours of operation. The library can provide space only and will not be significantly involved in planning the event. The reserving party must be an adult aged 21 years or over and is responsible for all applicable fees and documentation, including applicable city and state licensing and insurance. The reserving party will serve as the authorized representative of the group and is expected to remain on premises throughout the reservation period to ensure that attendees observe the regulations set forth below. All special events will be in accordance with the Special Events Policyand the Alcoholic Beverage Policy (if applicable).


Please note the following rates for special event rentals include security guards and are as follows: 

  • Santori Library - 125/126: $340 (for-profit hourly rate) | $204 (non-profit hourly rate)
  • Santori Library - Atrium: $440 (for-profit hourly rate) | $264 (non-profit hourly rate)
  • West Branch - Living Room: $290 (for-profit hourly rate) | $174 (non-profit hourly rate)
  • West Branch - Meeting Room: $340 (for-profit hourly rate) | $204 (non-profit hourly rate)


Applications for special events must be submitted at least 30 days before the requested event date and may be filed up to one year in advance. Full payment (100%) is due by the event date. Please note that rental times must include setup and teardown, including delivery and pickup of rental equipment such as furniture and equipment.

Frequently Asked Questions

Does the library supply tablecloths, napkins, or other linens (rentals)? 

A: No, but organizations may bring in their own or work with another company to provide this service. 


Can we get into the room early to set up for our event?  

A: No, all set-ups must take place within the contracted event times. Special events occur outside of library open hours.    


What kind of technology is available for us to use? 

A: All technology must be provided by the reserving group. Library staff are not available to provide technology support after hours. Select rooms have a variety of established technology resources. Click on a room above to view more information.


Will someone be on site to help us troubleshoot A/V, technology, and other facility needs? 

A: Library staff are not available to provide technology support after hours. 
 

Can you help us promote our event? 

A: The library posts leaflets, flyers, and other notices of non-profit groups as designated space allows with formal library approval. The library does not promote events that are not sponsored by the library on our social media or website. 
 

Can we post signs outside of the library on the day of our event? How about inside the library outside of the event room? 

A: During the contracted event times, the reserving group may display temporary signage inside and outside of the library, on library property.   


What is the maximum capacity for each room? 

A: Room capacities may vary depending on room setups and furniture requested. Click on a room above to view more information including some typical room layouts. 


Can we partner with the library for this event? 

A:  If you are interested in partnering with us, please submit a program proposal form.


Can the library let in our caterers et al? 

A: Library staff are not available to provide set-up support for special events. 


Where can we store our stuff at the library? (Before or after event) 

A: Storage space is not available at the library. All set-ups must take place within the contracted event times. 


Are alcoholic beverages allowed?  

A: Alcohol service is welcome at after-hours events as arranged by the reserving party, as governed by the Alcoholic Beverages Policy, at the discretion of the Executive Director or designee, and with proof of all applicable city and state licensing and insurance. 


Can we make changes to our event details after our request is confirmed?  

A: If you are requesting changes, please let library staff know as soon as possible. The library will attempt to accommodate changes to the best of our ability. 


Am I required to clean up after my event? 

A: Reservers are required to leave spaces as they found them. Trash and recycling should be collected and left in designated areas. If rooms are not left in clean and orderly condition, reservation privileges may be suspended. 


Who should we contact if something goes wrong or need help at the event? 

A: Library staff are not available to provide support after-hours. Please call 911 in the event of an emergency.
